We are seeking a highly organised and dynamic Administrator to a busy team. This role requires an individual who can thrive in a fast-paced environment, handling multiple tasks efficiently while maintaining high standards of work. You will support various departments including Engineering, Service, Hire, and Sales & Operations, ensuring smooth and efficient operations across the board.
Day-to-day of the role:
- General Responsibilities:
- Assist team members with customer queries via email and telephone.
- Maintain adherence to the company’s Standard Operating Procedures and agreed Service Level Agreements.
- Perform general filing and other administrative tasks.
- Answer telephones and assist with managing emails.
- Engineering Department:
- Schedule and prioritise engineering work in line with company commitments.
- Maintain and update training records and professional qualifications.
- Coordinate security clearance processes and maintain accurate records.
- Manage health and safety coordination .
- Service Department:
- Assist with the management of service/repair bookings.
- Follow up on outstanding service quotes and liaise with manufacturers.
- Update and manage Excel reports for customer updates.
- Hire Department:
- Manage hire equipment logistics and quality checks.
- Maintain accurate records and manage stock levels for the hire fleet.
- Support the warehouse team and manage courier collections.
- Sales & Operations:
- Create and manage sales orders, ensuring compliance checks are completed.
- Assist the Operations Supervisor with daily tasks and maintain accurate stock records.
Required Skills & Qualifications:
- A-Levels or higher in an administrative or business management subject, or equivalent experience.
- Proven office management and administrative experience.
- Proficient in Microsoft Office Suite, particularly Word, Excel, and Outlook.
- Strong communication skills and attention to detail.
- Ability to work independently and as part of a team.
- Effective planning, organisational skills, and ability to prioritise work.
- Experience in handling confidential and sensitive information.
- Desirable: Project management experience and qualifications in IT, data management, or health and safety.
Hours:
- Monday to Friday 9am to 5.30pm (5 days office based)
