Job description:
- Supervisory responsibilities for the reception team including formal appraisal meetings, coaching, and mentoring to ensure business support success.
- Coordinate with ground floor Reception, meet and greet all visitors in a warm and professional manner.
- Perform set up, regular room checks and turn down at end of day to ensure conference rooms are in perfect condition to receive the host and guests at all times.
- Proactively manage bookings, resolve meeting room conflicts and reallocate meeting rooms as requirements change throughout the day.
- Assist with booking, ordering and receiving supplies for any internal or external events organised by the Firm.
- Encourage feedback from fee earners and PAs and proactively act on any improvements.
- Assist clients with basic IT queries i.e., connecting to Wi-Fi and AV equipment set up.
- Take accurate messages and communicate effectively to the relevant parties, following up as/when it may be required.
Skills required:
- Must have experience working as a reception team leader and previously as a receptionist in a professional services environment (Legal, Accountancy, Finance, LLP)
- Extensive corporate reception and switchboard experience. Proven track record of experience on a busy reception desk is essential
- Comfortable sharing knowledge with other team members, upskilling and supporting other and more junior team members when necessary
- Ability to work confidentially, remaining discreet at all times
