Role Purpose: This role contributes to the Trust's commitment to being a great workplace. The Trust is moving from its current office at One Aldgate to its new office (also in the Aldgate area). The post holder will develop and implement the plan for the office move and develop processes and procedures for the long term. They will also support the Trust on other day to day office administrative procedures. The post holder will work closely with the Director of Finance and Resources and Head of IT. Main Duties: Relocating from the current office:

  • Identifying items that need to be moved to new office, moved into storage, items that can be recycled/sold, items that need to be securely disposed
  • Identifying and contacting with external suppliers to manage the move and removal of unwanted items
  • Liaising with CDL (external suppliers) on storage
  • Supporting Finance and Resources teams on a review of contracts (cancellations, notifying change of address/change of location of leased assets)
  • Work with Internal Comms team to ensure all staff are kept up to date Planning and working in the new office
  • Finalising office layout; planning storage/lockers, communal areas for collaboration, postage, printing and materials preparation, secure area for Registry, kitchen/rest area etc.
  • Liaising with the landlord and Trust staff to set up procedures (e.g. post, access, visitors, use of shared facilities, fire/emergency procedures)
  • Support IT and Data team with "how to guides" and office policies (e.g. booking meeting rooms, AV equipment, etc.)
  • Support Head of POD ensuring appropriate Health and Safety induction/training for all staff and recruiting/training fire marshals and first aiders. All consider any special equipment requirements for individual members of staff. On-going office administration
  • Coordinate organisational services including cleaning, maintenance, recycling, office supplies, outgoing post (franking, couriers and parcel deliveries)
  • Maintaining post opening and batching rotas, and being a member of the post team
  • Deal with any office-related or facilities queries
  • To undertake any other duties as may reasonably be required within the scope of the job description or general responsibilities of the POD Team.
