Office based in South West London - due to the nature of the role this is 4/5 days a week in the office

Salary up to £28000 - £32000 FTE plus holidays, pension, gym allowance

 The office is a hub of activity throughout the working week so this will be a full-time office-based position.

Who are we looking for?

This position is great for someone who is currently a receptionist and looking to step into an office assistant position.

  • Someone who is friendly, personable and has a positive approach to solving problems
  • Excellent communication skills and confidence speaking on the phone
  • Confident with working with a range of people and seniorities
  • This is a very autonomous role so previous experience is desirable 
  • Highly organised with great attention to detail
  • Customer service experience - either over the phone or in person
  • Ability to prioritise tasks and manage a variety of tasks
What will you be doing?
  • Primary Contact: Serve as the primary point of contact for building management, sub-tenants, and external contractors. 
  • Office Environment: Ensure the office remains clean, comfortable, and enjoyable for staff by maintaining a high standard of facilities and organization. 
  • Building Maintenance Coordination: Oversee and coordinate building maintenance activities, ensuring minimal disruption to daily operations. 
  • Health & Safety Compliance:
  • Lead efforts related to the company’s health and safety program, including first aid, fire safety, and compliance. 
  • Regularly review and update health and safety policies. 
  • Supplier Relationships: Build and maintain strong relationships with key suppliers, including HVAC engineers, cleaners, and other service providers. 
  • Building Security: Assist with maintaining building security, including access control systems, visitor passes, and regular alarm testing. 
  • Policy & Procedure Updates: Keep internal policies and procedures up-to-date and aligned with current regulations and best practices. 
  • Office Supplies Management: Monitor and maintain office supplies to ensure that staff have the resources they need. 
  • Ad Hoc Projects: Provide support for various projects as assigned by the Head of Operations. 
  • Process Improvement: Identify and implement opportunities for improving office operations and staff experience.
