Our client, a leading real estate investment firm in London, is seeking a proactive and highly organised Office Administrator / PA to support their growing team. This essential role will play a key part in ensuring the efficient operation of daily activities and will be the main point of contact for both internal and external stakeholders. If you’re detail-oriented, a problem solver, and thrive in a dynamic environment, this position is for you.

We’re looking for a naturally resourceful and adaptable Office Administrator / PA who is driven to deliver excellence. As a key part of the firm's operations, you will be the go-to person for the team, ensuring everything runs smoothly and efficiently. If you have experience in an administrative, executive assistant, or personal assistant role, particularly in supporting senior leaders, we would love to hear from you. Experience in the real estate or financial services sectors is preferred although not essential.

Key Responsibilities:

Support to Executives: Assist senior leadership by managing their schedules, prioritising their tasks, and organising their day-to-day activities for optimal efficiency.

Communication Oversight: Handle all correspondence, including emails and phone calls, ensuring timely responses and clear communication.

Meeting & Event Coordination: Organise meetings, prepare agendas, and ensure all materials are ready. Take minutes and follow up on action points when necessary.

Project & Deadline Management: Monitor ongoing projects, ensuring deadlines are met and priorities are kept on track for smooth project delivery.

Front Desk & Visitor Management: Greet visitors, clients, and stakeholders, providing a professional and friendly atmosphere as their primary point of contact.

Office Resources Management: Keep track of office supplies and maintain inventory, ordering new materials as needed to ensure the office runs efficiently.

General Administrative Support: Assist with day-to-day office tasks, such as filing, organising documents, managing data, and handling other ad-hoc duties to keep operations running smoothly.

Requirements:

Exceptional Organisational Skills: Capable of managing multiple tasks simultaneously while maintaining a keen eye for detail and accuracy.

Self-Motivated & Independent: A proactive individual who can take initiative and manage responsibilities autonomously with minimal supervision.

Strong Communication Skills: Excellent verbal and written communication abilities to represent the firm professionally and clearly to all stakeholders.

Tech-Savvy: Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook), and quick to learn new software and systems as needed.

Confidentiality & Integrity: A high level of discretion in handling sensitive and confidential information with the utmost professionalism.

Time & Task Management: Able to prioritise competing demands and meet deadlines in a fast-moving environment.
