Our client in the Property sphere are looking for a friendly and hardworking Office Administrator to help the Lettings and Sales teams in their three offices in Central London.
Key duties:

Answer phone calls, take messages, and help direct people to the right place.

Welcome clients and handle key handovers for tenants, landlords, and contractors.

Help cover different offices as and when required.
-
Send property leads to the lettings and sales teams throughout the day.

Update window display cards in the office.
-
Make sure property listings on websites like Rightmove, Zoopla, and Onthemarket are correct.
-
Keep track of office keys, label them, and do regular key checks.
-
Arrange property photos, floor plans, and EPCs for marketing.
-
Run reports and remind tenants about important documents.
-
Help check properties for compliance, making sure certificates are up to date and filed.

Stay informed about new housing laws and help put changes into place.
-
Book property checkouts and follow up on reports.
-
Keep property and tenant details accurate in the system.
-
Prepare legal documents for the Sales and Lettings teams, from valuations to invoices.
-
Support the Directors, Managers, and Negotiators with admin tasks.
-
Work with key officers to make sure all required checks are done properly.
-
Help schedule appointments for the teams.
-
Support other administrators in different offices when needed.
-
Assist with marketing tasks like social media, brochures, and newsletters.
Person Specification
-
At least 1 year of experience in lettings administration for an estate agency.

Some knowledge of property laws and an interest in learning more.
-
Strong communication skills, both written and spoken.
-
A positive and proactive attitude.

Well-organised with great attention to detail.
-
Good at managing tasks and prioritising work.
-
A team player who works well with others.
