Robert Half is partnering with a high calibre boutique investment management firm, seeking an exceptional Office Coordinator & Executive Assistant to join their team. This role offers an opportunity to work directly with senior leadership in a dynamic, high-performance environment.

About the Role - Reporting directly to the CEO, this role combines high-level executive support with comprehensive office management responsibilities.

Responsibilities

  • Provide dedicated support to CEO, CIO, and COO
  • Manage complex calendars, travel arrangements, and gatekeeping duties
  • Organise and minute board meetings and general meetings
  • Handle sensitive correspondence and communications
  • Prepare professional documents including presentations, briefing papers, and reports
  • Oversee all aspects of office operations and administrative systems
  • Manage office budget, expenses, and supplier relationships
  • Negotiate and oversee office contracts, including utilities and telecommunications
  • Maintain efficient filing systems and data management protocols
  • Supervise office supplies and equipment
  • Coordinate marketing travel arrangements, including international bookings
  • Support organisation of client events and conferences (both virtual and in-person)
  • Monitor staff holiday and sickness records
  • Oversee employee benefits administration
  • Maintain health and safety policy compliance

Qualifications

  • Exceptional organisational and time management abilities
  • Strong attention to detail and accuracy
  • Advanced Microsoft 365 and Google Mail proficiency
  • Outstanding written and verbal communication skills
  • Ability to work independently and meet tight deadlines
  • Professional discretion and confidentiality
  • Strong numerical literacy and budgeting capabilities and excellent proofreading skills
  • This is a full-time, office-based position (5 days per week)
