Our client are an award-winning architectural practice located in Shoreditch. They are passionate about architecture and design, and pride themselves on creating a dynamic and inspiring work environment.

They are seeking a highly organised and proactive Office Manager/PA to join their team to help maintain the smooth and efficient running of their busy studio.

Key Responsibilities

  • Provide director-level support, including managing calendars, responding to emails and drafting correspondence as required.
  • Maintain CRM database and ensure it is kept up to date.
  • Assist in the preparation and proof-reading of bid documents.
  • Manage travel arrangements including booking taxis and hotels.
  • Manage day-to-day office activities, including overseeing office supplies, equipment, and facilities management.
  • Organise internal and client-facing meetings, including setting up and preparing necessary materials.
  • Assist with organising office activities, team trips and CPD sessions
  • Assist with compliance with health and safety regulations
  • Meet and greet clients and visitors, and manage inbound/outbound mail and packages.
  • Assist with new staff inductions and maintaining employee HR records.
  • Assist the Finance Manager in processing project-related invoices, including coordinating with clients and suppliers to ensure timely payments.

Skills and Experience

  • Previous experience as an office manager, executive assistant, or PA, ideally in an architecture, design, or creative environment is an advantage.
  • Competent in using Microsoft Office Suite (Word, Excel, Outlook). Experience in InDesign would also be beneficial
  • Excellent verbal and written communication skills, with the ability to interact professionally with clients, consultants, and all members of the team.
  • Strong multitasking and time management abilities, with attention to detail and the ability to prioritise tasks efficiently.
