A well established financial institution is seeking an office manager to assist with front desk reception duties and facilities, location is West End with 5 days pw in the office, the role offers an atrractive base salary plus benefits.

Main Duties

Front Desk Coverage

Help schedule rooms and execute requests for 3rd party tenants (Cross Boundary)

Create visitor templates and maintain visitor information

Operate a multi-line switchboard and transfer calls

Maintain proper appearance of reception and entry way

Colleague onboarding / off boarding (introduction meeting, for example)

Building documentation (contacts, maintenance, lighting, safety, furniture, photos)

Space maintenance (carpets, glass, furniture, dishwasher, plant maintenance)

Property management relations (work permits, elevator usage, HVAC, cleaning / housekeeping)

Emergency and safety processes (first aid, AED, emergency processes / evacuations)

Assistance to Global Head of Security as needed

Support of capital projects involving renovations and/or office moves

Work with IT to maintain serve

Experience Required

3 + years of Facilities/front desk experience within a corporate environment

Must be highly organized, efficient and a problem solver

Have the ability to work independently and proactively on requests

Demonstrated flexibility to manoeuvre through multiple deliverables with varying deadlines in a fast-paced environment

Superior written and verbal communication skills
