Job Summary:We are sourcing for a full-time Office Manager to support the team at the London Head Office. In this role, you will manage office operations and coordinate company-wide travel logistics. You will also supervise the Maintenance Supervisor and the Reception Admin Coordinator, ensuring seamless day-to-day operations.

Key Responsibilities:

Office Management and Administrative Duties:

  • Ensure health and safety compliance across the office, fostering a safe and compliant work environment.
  • Coordinate with maintenance companies and contractors to ensure efficient completion of necessary work.
  • Manage company records, including health and safety documentation and maintenance logs, ensuring accuracy and accessibility.
  • Serve as the primary contact for employee inquiries related to operational issues, maintaining clear communication with internal stakeholders.
  • Oversee the management of corporate credit cards, including recording, reconciling, and submitting monthly statements to finance.
  • Assist with processing company expenses, ensuring adherence to company policies.

Travel Coordination:

  • Lead and manage large-scale international travel projects, including high-profile events like industry conferences and key client meetings.
  • Design bespoke travel itineraries for staff, VIPs, and clients, tailored to their specific needs.
  • Oversee travel budgets and maintain meticulous financial records for all travel-related transactions.
  • Ensure consistent standards for travel accommodations, maximising the use of preferred suppliers.

Key Skills and Profile:

  • Minimum of 2 years of experience in a similar role, with expertise in office management and travel coordination.
  • Proven experience in team management, fostering a collaborative and efficient work environment.
  • Strong administrative and organisational skills, with a proven ability to manage complex office operations.
  • Competent in health and safety management, ensuring full legal and company compliance.
  • Experience in managing budgets and travel requests, with a focus on aligning costs with budgetary constraints.
  • Exceptional attention to detail, particularly in financial and logistical management.
