Office Manager - Putney - Up to 40,000
We are seeking a highly organised, proactive, and detail-oriented Office Manager to join our client's team in Putney, London. In this key role, you will oversee various administrative and HR-related tasks, ensuring the smooth operation of the office. You will support both the operational and HR functions of a logistics company in a fast-paced and dynamic environment.
Working Hours: Monday to Friday, 09:00 AM to 17:30 PM
Key Responsibilities:
- Manage employee attendance, absences, and illness records, ensuring accurate updates in the employee system.
- Maintain office equipment, ensuring functionality and reporting any issues.
- Perform daily regulated agent checks and monitor supplier invoices.
- Handle incoming and outgoing post, as well as general office administration tasks.
- Answer phone calls and manage general door duties.
- Process leave applications and maintain accurate leave records for all staff.
- Manage parking tickets, congestion charges, and monitor the insurance log.
- Provide HR support, including updating employee records and processing payroll-related information.
- Monitor and reorder office supplies such as stationery and consumables (tea, coffee, sugar).
- Ensure cleaning services meet contractual standards and oversee maintenance of office equipment.
- Conduct audits related to Aviation Security Quality Assurance and Cargo Security Training.
- Verify overtime hours for warehouse staff and update payroll accordingly.
- Conduct on-boarding for new employees, ensuring all paperwork and training are completed.
- Manage exit processing for departing employees, including conducting exit interviews and retrieving company property.
- Monitor and manage expiring training certifications and employee contracts.
- Reconcile and review leave balances, including sick and annual leave records for warehouse staff.
Requirements:
- Proven experience in administrative or office management roles, preferably within a logistics or fast-paced environment.
- Strong organisational, time-management, and multitasking abilities.
- Excellent communication skills, both written and verbal.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Ability to handle multiple tasks with attention to detail and a proactive approach to problem-solving.
- HR experience is a plus.
