We understand the importance of specific industry and sector knowledge, as well as encompassing a service first approach for our clients. The focus for A S Ramsay Group is to provide and excellence of shared and supporting services to the three separate divisions: A S Ramsay Block; A S Ramsay Commercial; and A S Ramsay Fire & Security.

Our typical contracts include:

A S Ramsay BLOCK External mansion block restoration; internal common-part refurbishment; and small works for Property Managers.

A S Ramsay COMMERCIAL Cladding remediation projects; academy and school works; and hotel and commercial building improvements.

A S Ramsay FIRE AND SECURITY Fire door installation and maintenance; accredited fire separation work; and access control and fire detection.

Job purpose:

The Commercial Assist offers direct support to the commercial Director managing the purchase order process, invoice approval process and has involvement with many aspects of the project administration for Health and Safety through to Contractual compliance and obligation.

Main duties:

GENERAL - Answer the main work phone.

PROJECT FINANCES - Support the Commercial Director in producing and issuing Purchase Orders.

PROJECT FINANCES - Work alongside the Commercial Director to approve bills on our accounting and purchase order system, seeking approval confirmation from our Delivery Team.

PROJECT ADMINISTRATION- Assist with the completion of the pre-contract process, by creating programs, budgets and setting up projects on our online QA software (Boris, Letsbuild, Xero and Zahara).

ADMINISTRATION- Create and maintain the sub-contractor verification database. Ensuring that all sub-contractors who we engage with are approved by A S Ramsay's criteria (Insurance, H&S, financial standing).

PROJECT- Assist Commercial Director with producing detailed project plans.

PROJECT OPERATIONS- Undertake and weekly process check and fill out a check sheet in order to report on adherence to process.

PROJECT- Support the Commercial Director in managing the process for our PCSA projects.

PROJECT ADMINISTRATION- Set up all project files on SharePoint from an enquiry folder to a project folder once a project becomes live.

PROJECT ADMINISTRATION- Dead filing project documents from our management software into SharePoint in line with GDPR requirements.

Person Specification:

A minimum 2 years experience in administration/ finance or a similar role.

Must be very strong with IT.

Must be proficient in using Microsoft programs to be able to create documents that are professional and in line with our branding guides. Ability to create aesthetically accurate template is critical.

An excellent communicator, who can research, present, and has creative skills.

Must have a sincere and honest approach.

Exceptional administration skills.

You must be an excellent communicator with focus on both your clients and colleagues to achieve clarity, openness and positivity.

You must be a positive and helpful individual who possess a can do attitude. You will create a positive environment within the company towards your work, your clients, and colleagues.
