- Complete any items or works highlighted by a pre-tenancy inspection.
- Assist with the utility switch provider.
- Send welcome emails, provide property information, and make a welcome phone call.
- Report all maintenance issues, raise work orders, and schedule and complete tasks using FixFlow.
- Discuss all works with landlords and secure funds in advance prior to booking.
- Liaise with contractors and expedite work completion.
- Ensure tenants are regularly updated.
- Submit insurance claims.
- Handle utility and council tax companies and pay bills on behalf of landlords when necessary.
- Pay service charges and ground rent; deal with block management for account queries and block issues.
- Monitor each property’s certification expiry, raise work orders, and liaise with contractors to ensure renewals such as GSC, EPC, EICR, and additional or selective licenses.
- Book and conduct property inspections (minimum of one per property per annum).
- Compile inspection reports, make maintenance recommendations, and send reports to the landlord within 48 hours of the inspection.
- Prepare the landlord, tenant, and inventory clerk for check-out.
- Receive the check-out report and cost damages and dilapidations.
- Negotiate between landlord and tenant for the return of the deposit.
- Ensure excellent and comprehensive file notes are kept at all times on Reapit.
- Keep your team and the lettings office up to date as required.
- Follow company procedures at all times.
- Assist the Head of Property Management with administrative duties and issues, and handle any other tasks assigned.
- Support colleagues when required.
- Offer excellent customer service at all times to all parties.
