The Position

Galliard Homes are looking to recruit an Estates Manager to be based from our Baltimore Wharf Office near Canary Wharf, London. As an Estates Manager, you will be an integral part of our in-house Property Management team, collaborating closely with both the wider Property Management team and our Service Charge accounts team.

In April 2023, Galliard Homes signed the Government's Self Remediation Terms and committed to remedying fire safety defects at all Galliard developments which have completed within the last 30 years. As the Estates Manager, you will be responsible for managing, guiding and advising external managing agents that oversee the elements of the Galliard portfolio that is not currently managed by Galliard Estate Management on both management and building safety remediation matters.

This position is based in the office five days per week. The working hours are 09:00am to 17:30pm Monday to Thursday, with a shorter workday of 09:00am - 17:00pm on Fridays.

Estate Management responsibilities include:

  • Collaborate with the wider internal team and external agents to produce monthly Estate Management reports, which cover financial health, service charge, budgets, insurance, and operational status.
  • Ensure full compliance with Landlord and Tenant duties, health and safety protocols, and Galliard operational practices.
  • Conduct periodic estate inspections, providing reports and addressing issues related to leaseholder concerns, building defects, and insurance matters.
  • Recruit and tender managing agents for new developments, setting up service charge budgets and overseeing estate management strategies
  • Set up and regularly review service charge budgets, estate strategies, and management procedures with managing agents.
  • Attend meetings with managing agents to address health and safety, service charge status, and general estate matters.
  • Liaise with internal teams and senior management to address estate management matters, ensuring alignment with broader business goals.
  • Lead and manage the transition from construction to live operation, ensuring compliance with health, fire safety, and leasehold legislation.
  • Assist in developing legal structures, setting up leases and agreements, and working with legal teams on relevant matters.
  • Promote collaborative work and customer service excellence, maintaining high standards of communication and project delivery.
  • Manage and coordinate the portfolio wide Capital Expenditure Plans and Major project work as and when required.

Building Safety Remediation responsibilities include:

  • Liaising with external managing agents of Galliard properties to manage the remedial process from inspection through to construction works.
  • Liaising with external managing agents and third-party stakeholders including RTM Companies and key leaseholders to secure access to their developments, collect key fire safety information, manage communications throughout inspection, survey and construction programme dates.
  • Maintain relationships with third party stakeholders throughout construction to works completion and final report.
  • Liaise internally between departments to facilitate and support the progress of the Remediation Project.

The Person

As well as having a strong understanding of the Building Safety Act, the Estate Manager will have previous experience within Estate Management or Block Property Management and will have worked on either client-side or agent-side. They will also meet the below criteria:

Essential:

  • Must have a good understanding of new build residential and mixed-use developments.
  • Previous experience operating as an Estate Manager, Property Manager or similar.
  • You will have a sound understanding of multi-schedule budgets.
  • You must possess a comprehensive understanding of relevant Leasehold, Landlord and Tenant legislation
  • Will be AIRPM/ATPI qualified.
  • Previous experience managing direct reports with varying levels of experience.
  • The candidate will have a good understanding of budgets and accounts, to include utility billing and apportionment.
  • Visits to site will be necessary and therefore a driving license along with your own transport is essential.

Desirable:

  • Will be MIRPM/MTPI qualified or working towards qualification.
  • Previous experience coordinating capital expenditure plans and major project works.
