Estate & Services ManagerFull Time, 40 hours per week, 08.30 - 17.30 Monday to Friday (flexibility required to ensure continuity of estate management cover)

Job purpose:A key role in ensuring the Estate and Services Management of a West London commercial estate is operating efficiently, effectively, and safely, in line with expected high standards and operational business strategies. You will work with all departments and external service partners to ensure service delivery aligns with the overall Mission, Vision, Values, and Objectives. Reporting to the Head of Operations, this role will also have direct reports.

Key accountabilities:

  • Estate Management: Facilitating the planning, developing, and implementation of the estate strategy across the site area.
  • Ensuring all external areas, gardens, and grounds are clean and maintained through effective management of contractors.
  • Contract Management: Taking an active lead in managing Service Partner contracts such as Guest Services (Cleaning) and Landscaping & Wildlife, and supporting additional Service Partner contracts where necessary.
  • Day-to-day management of the highest standards of excellence for all areas across the estate and services.
  • Full financial accountability for the estate and services budgets ensuring accurate tracking and involvement in forecast planning.
  • Supporting business continuity by assisting with Project, Lifecycle Replacement, and Fabric work.
  • Influencing sustainable asset management in line with the business strategy, including working with the Sustainability Data Analyst and Waste & Recycling Manager on areas like energy, waste, recycling, and biodiversity.
  • Supporting car parking management across the estate.
  • Ensuring breaches of standards or procedures, non-compliance, or observations are investigated and resolved, with corrective actions taken.
  • Determining health and safety training needs and assisting in establishing the training programme.
  • Preparation of presentations for webinars, meetings, and reports, and assisting in writing submission documents for external stakeholder engagement.
  • Leading the Health & Safety Management of all guests, visitors, members of the public, property management staff, and service providers.
  • Providing on-call support for Emergency Procedures and Disaster Recovery.
  • Monitoring and analysing claims and incident reports, developing responses, including preventative actions and health and safety programmes.

Personal Attributes:

  • At least 5 years of experience managing an estate in a similar environment.
  • Knowledge of soft services, such as cleaning and grounds management (desirable for all areas).
  • IOSH Managing Safely as a minimum, NEBOSH General Certificate is desirable.
  • Experience in planning and managing budgets.
  • Ability to prioritise and handle a multi-tasking environment with attention to detail.
  • Experience conducting site inspections and ensuring Health & Safety regulations are adhered to.
  • High levels of integrity, discretion, ethical and professional business approach, and credibility.
  • Proactive attitude with strong organisational, project, and stakeholder management skills.
  • Solid organisational skills, including multitasking and attention to detail.
  • Ability to think ahead, anticipate needs, and prioritise accordingly.
  • Champions service excellence, maintaining policies, procedures, and standards.
  • Experience overseeing external contractors, property maintenance, and major works.
