Property Administrator. OUR CLIENT is a well-established independent property investment and asset management company who have been working with private investors for over 45 years. Their current portfolio spans across London and the UK. They are now looking for an experienced commercial Property Administrator to assist the Associate Director and the team in their London office.

THE ROLE REQUIREMENTS for the Property Administrator will include:

  • Coordinating inspections and managing agents Annual Progress Reports for properties.
  • Assisting with the administration of Service Charges budgets from their Managing Agents.
  • Scheduling and recording implementation of the managing agents’ progress with Rent Reviews/Lease Renewals.
  • Managing meeting agendas; if required, arranging and keeping record of minutes for internal meetings.
  • Handling vacant properties, including assisting with business rates authority correspondence, utility bills, advising the insurer, assisting as necessary with co-ordinating marketing.
  • Arranging property inspections for the team and external surveyors.
  • Assisting with correspondence and co-ordinating property repair work with building surveyors. Co-ordinating and recording progress, keeping up-to-date records.
  • Arranging and keep records of Land Registry Compliant Plans/Energy Performance Certificates.
  • Handling Insurance matters.
  • Ensuring documentation for In-house Portfolio is complete and that contact records are up-to-date.
  • Assisting with the co-ordination of external surveyors dealing with residential lease extensions where applicable.
  • Assisting colleagues with office suppliers and maintenance call outs when required.
  • Generally keeping files and records up-to-date - both paper copies and digital. Managing key holding arrangements where applicable.

THE PERSON and SKILLS REQUIREMENTS for the Property Administrator:

  • MUST HAVE 10-15+ years of experience as a Property Administrator, preferably commercial real estate.
  • Knowledge of property management systems is a MUST such as QUBE, TRAMPS, YARDI or similar.
  • Happy to work in a small friendly team/company.
