Our client, a professional services firm based close to Westminster are currently looking for a Receptionist / Front of House to join their team on a full time, permanent basis.

Main duties will include:

  • To meet and greet all visitors to the building in a courteous and helpful manner.
  • To maintain a tidy and attractive working environment in all the client areas. Ensure that there are no amazon or other delivery boxes on the front desk and no cardboard boxes or other items elsewhere in client areas. Keep the flowers fresh and the plants watered. Ensure that the cupboard doors are closed. Keeping the library in order and the books tidy.
  • Provide fresh coffee, hot water and cold water in all board rooms as required. Provide and offer top ups during longer meetings.
  • Ensure the correct number of cups and glasses are on the table for the start of the meeting.
  • Check that there is adequate stationery, matching pens in the pen cups, blocks of paper, highlighter pens, pencils, rubbers, and sticky pads in every room.
  • Assist with the delivery and collection of post in a timely and efficient manner ensuring that the fee earners know when the parcels have been collected collating the tracking code and sending to the fee earner for filing to the correct client file. Working with General Office.
  • Be ready to scan and copy documents of clients when we are holding client meetings, whichever assistant or trainee or paralegal or support staff member asks you to do this.
  • When answering the telephone use the correct professional tone with the client. Take their name and the person’s name with whom they would like to speak. Make sure that you are familiar with how to use the telephone system from the first day. Be very pleasant to people calling us as they are often longstanding clients of the firm and sometimes very elderly or vulnerable.
  • Assist with filling and unloading dishwasher and keeping the kitchens tidy.
  • Assisting the residential team with taking on new clients AML/KYC checks.
  • Scanning documents into client files for the private client team and other administrative tasks.
  • Always be friendly (but not familiar) and cheerful with a welcoming smile for every visitor.
  • Assist with business development events and where this is out of hours there will be overtime paid. This will include room set up, helping with wine and food, serving drinks and food and helping to clear up.
  • Booking parking for clients, staff and suppliers

The successful candidate:

  • At least 12 months experience in a similar role
  • Excellent communication skills, both written and verbal
  • A friendly, professional approach
  • Previous Receptionist experience within professional services is highly desirable
  • Strong attention to detail
  • A good team player
