We have an exciting opportunity for an experienced Finance Admin Assistant to work for our global pharmaceutical client based in Moorgate, London. The role is a temporary contract position initially signed off for 1 year with a possible extension and offers a generous hourly rate of up to £20.00 per hour depending on experience, plus holiday pay. Our client offers predominantly remote working with limited travel to the London office and 25 days holiday plus 8 bank holidays.

The role is to provide high quality administration support for the Finance Clinical Operations Managers - a team of experts working to contract with NHS sites for clinical research studies. In addition, the role will be responsible for supporting the implementation of the Budget to Payment process that will act to support swift and transparent payments to the NHS for delivery of our studies.

Duties include:

  • Support monitoring the finance mailbox, tracking invoices and responding to queries from NHS sites regarding payment status.
  • Support the invoice payment process, by requesting documentation and liaising internally to support approval workflows
  • Support the COM group in liaising with NHS sites and CRAs to address invoice queries.
  • Support the finance taskforce initiative, which is working to ensure all sites are up to date with their invoicing- the work in this area is likely to increase significantly between Dec 2024 and June 2025,
  • Support the site personnel compliance workflow activities required for clinical trial contract execution. This work will increase over the next 6-9 months, as the number of sites in set up increases.
  • Support the MSD End of Year finance process in Nov and Dec 2024, ensuring all pending invoices are processed prior to Year End cut off, to minimise accruals.
  • Site budget tracker reconciliation work, to ensure finance process is robust and as efficient as possible.
  • Filing support to team due to additional workload as part of UK independence project

Experience & Skills:

Essential

  • Team player that clearly demonstrates positive outlook
  • Excellent IT skills including proficiency in MS Outlook, Excel, and experience in working on company systems/ finance trackerswith the ability to adapt to new IT applications.
  • Excellent communication skills, both written and verbal with external customers (e.g. sites and investigators)
  • Experience of working remotely and self-managing workload
  • Administration experience
  • Some knowledge of financial systems
  • Hands on knowledge of Good Documentation Practices
  • Effective time management, organizational and interpersonal skills, conflict management
  • High sense of accountability / urgency. Ability to set priorities and handle multiple tasks simultaneously in a changing environment
  • Works effectively in a matrix multicultural environment. Ability to establish and maintain culturally sensitive working relationships.

Desirable

  • Clinical research finance knowledge
  • Experience of work within NHS or pharmaceutical industry
  • Prior experience with eClinicalGPS

Qualification& Education:

  • Completed job training (office management, administration, finance, health care preferred) or bachelor’s degree
