KennedyPearce is hiring a Finance Assistant for a dynamic and innovative events company with a HQ in London. This role is newly created, permanent and offers hybrid and flexible working patterns. We are seeking an experienced, detail-oriented, and proactive Finance Assistant to join the team. Job Summary:

The Finance Assistant will provide financial and administrative support to the finance department, ensuring the smooth and accurate processing of financial transactions related to events. This role requires a high level of organization, accuracy, and an understanding of financial principles, with a particular focus on event-related expenses, costing and revenue. This role will be fairly busy over the summer period and no annual leave can be granted between June and July.

Key Responsibilities:

  • Manage Invoices and Payments: Process incoming and outgoing invoices, ensure timely payments to suppliers, and assist in managing accounts receivable and accounts payable for events.
  • Accounts Receivable: Ensure invoices are sent promptly and follow up with clients if any delays occur.
  • Expense Tracking: Monitor and track event-related expenses, ensuring they align with budgets and report any discrepancies.
  • Reconcile Accounts: Assist with monthly reconciliation of accounts, identifying and resolving any discrepancies in event-related financial records.
  • Budget Support: Help in the creation and management of event budgets, ensuring that financial constraints are adhered to and providing reports for project managers and other departments.
  • Data Entry and Filing: Maintain accurate records of financial transactions and organize digital or physical filing systems for financial documents.
  • Customer and Supplier Liaison: Liaise with clients, suppliers, and other departments to ensure accurate and timely financial communication related to events.
  • Other Duties: Provide general administrative support to the finance team, including assisting with payroll and handling any ad-hoc financial requests.

Key Skills & Qualifications:

  • Experience: Proven experience in a finance or accounting role, preferably within the events or hospitality industry.
  • Technical Skills: Proficient in Microsoft Office Suite (Excel, Word, Outlook) and familiarity with financial software or ERP systems (e.g., Dext, Pleo, Xero).
  • Attention to Detail: Strong attention to detail and accuracy, with the ability to work under pressure and meet deadlines.
  • Team Player: Ability to work collaboratively in a fast-paced, team-oriented environment.
  • Flexibility: Willingness to adapt to the changing needs of the events industry.
