Contract Operations Executive

Contract - 2 months

Start - 28th April

A leading ecommerce business that we work with is looking to hire an operations executive to support their day to day logistics and supply chain. There is long term permanent potential in this role also. The Operations Executive is responsible for accurate and timely manual order processing, coordination with internal and external stakeholders, and providing outstanding service in response to weekly customer and retailer queries.

Key Responsibilities

Logistics & Order Processing

  • End-to-end order management for the UK market, including internal, marketing, and staff-related orders-from purchase order creation through to invoicing.

  • Regular collaboration with global operations teams to ensure alignment and smooth flow of goods.

  • Uploading and managing order and invoice data across various customer platforms and portals.

  • Monitoring shipping timelines, resolving discrepancies in logistics documentation, and communicating closely with warehousing partners.

  • Investigating and resolving stock discrepancies, issuing credits where appropriate.

  • Analysing retail stock levels and tester inventory, proposing adjustments as needed.

  • Processing returns and collaborating with finance, warehouse, and logistics teams to manage stock flow efficiently.

  • Escalating key issues to the Head of Operations as required.

Retailer Communication & Coordination

  • Acting as the main point of contact for retailers regarding order processing, product availability, pricing, and returns.

  • Preparing and distributing new product launch information and allocations.

Marketing Support

  • Collaborating with the marketing team to ensure alignment on product launches and promotional activities.

  • Coordinating the distribution of samples and tester stock within agreed timelines and budget

Customer Service

  • Managing and responding to weekly customer service queries in collaboration with the e-commerce team and other internal departments.

  • Ensuring a high standard of customer service across all touchpoints.

  • Escalating any significant issues to the Head of Operations when necessary.

Skills, Knowledge & Experience

  • Strong analytical skills with excellent attention to detail.

  • Experience using SAP or similar ERP systems is highly desirable.

  • Ability to manage multiple priorities and meet tight deadlines in a fast-paced environment.

  • A proactive and collaborative approach, with the ability to work both independently and as part of a team.

  • Strong written and verbal communication skills.

  • Proficiency in Microsoft Office, particularly Excel.

  • Previous experience in operations within the retail or consumer goods sector is preferred, especially in a premium or luxury environment.
