As a Business Support Officer, you will report to the Head of TyTAN UK Service and General Manager RAF Lossiemouth, as well as the Business Operations Manager.

This is a very broad role and you will be engaging with customers and colleagues on a daily basis and will meet a wide spectrum of people, including company employees, contractors, RAF personnel and MOD Civil Servants. Along with providing secretarial support to the General Manager, you may also be required to provide administration support to the wider TyTAN teams based at RAF Lossiemouth.
Providing guidance and support for both the Business Continuity Management personnel and the Incident Management team based at RAF Lossiemouth is a key requirement.

Main Responsibilities

You will be responsible for:

• Act as a Business Continuity Management Practitioner at RAF Lossiemouth, encompassing the following:
• Be able to understand the importance of the MIA and BIA in the context of the overall business continuity programme
• Be able to work with the BC business / function Owner & Sponsor to define an overall planning aim
• Be able to understand how to scope and structure the BIA to best suit the organisation at RAF Lossiemouth.
• Confidently assess BIAs on behalf of the General Manager and the BCM team at RAF Lossiemouth.
• Know what actions are necessary to undertake following completion of the BIA tool.
• Ability to guide, compile and maintain Business Continuity / Recovery Plans, utilising information from BIA and strategy development
• Understanding the relationship between Business Continuity Plans and Business Recovery Plans
• Be aware of the next steps in the BC programme
• Be able to develop, facilitate, deliver and determine the effectiveness of a BCM Exercise or Test and deliver and report on actions and improvements. Further one to one support or mentoring from the AIR central BCM team can be offered where required or requested
• Manage the Incident Management facility (room and equipment) to ensure availability, maintain the Incident Management Team register, initiate monthly tests of the Everbridge call out system
• Ensure the IMT receive regular refresher training (or new training for those replacement personnel)
• Ensure representation at the annual Major Accident Crash Recovery (MACR) and desktop exercises
• Understand the interaction and dependencies between Incident Management and Business Continuity through training and education in both elements
• Manage the safe and efficient local operation of the Corporate Air Travel internal flight including passenger interaction queries, schedule changes and delays impacting on passengers at RAF Lossiemouth
• Manage the queries and assigning to the correct area of the business for vehicle rentals through the appropriate rental company (AVIS, Thrifty, Arnold Clark or Enterprise).
• Act as the focal point and interface with the AVIS regional account manager
• Manage the relationship with the on base catering teams to provide lunches and refreshments as requested by the senior management team.
• Provide CPC (Coupa) Procurement support to TyTAN UK service personnel at Lossiemouth including ordering office, engineering & facility supplies, specialist furniture and equipment
• Provide support and guidance re costbase management for 3 bespoke costbase accounts within CAM475
• Management of the conference room and desk booking system, and associated requirements
• Provide support to all facets of Business Ops team as required
• Support the site security lead in administering security access equipment and passes as required
• Update and maintain locally kept processes and procedures and provide information to main site as and when required
• Assist with other tasks as directed by Line Management.
• Comply with all Safety, Health and Environmental regulations and policies.
• Comply with all Company policies.
• Providing full secretarial support to the General Manager at RAF Lossiemouth and his Senior Management Team.
• Daily, weekly and monthly collation of information and data packs as required.

Knowledge and Experience

Familiarity and a sound working knowledge of MS Office, in particular Excel, word and PowerPoint is essential
Experience of minute production and data manipulation
Previous exposure to MOD / Defense industry is desirable
Business Continuity Management trained
Incident Management trained
General awareness of customer facing roles and an active knowledge of how the RAF operates
