We are seeking an experienced and dynamic Head Office Visitor Lead to oversee the daily operations of three reception areas. The role will be to lead the team and create a more uniformed approach to our visitor management processes across site, whilst streamlining current systems and processes. The role will also look to create a new structure to coordinating, planning, and recording training for staff across central functions.

This is a newly created role in a growing central facilities team, with the opportunity for someone to make a real difference in terms of how this role ends up being shaped, and also playing a part in the continual development of the team.

This role is based in East Leake, full time, 5 days a week.

What we're looking for:

  • Strong leadership skills/ability, ideally with evidence of leading a similarly sized team
  • Well developed interpersonal skills, confidence and an ability to engage and communicate with people on all levels
  • Excellent time management, administration and organisational skills to ensure the efficient functioning of the reception teams.
  • Providing exceptional customer service, and supporting compliance and training initiatives
  • Ability to demonstrate responsiveness and commitment to achieving deadlines
  • Proficiency in the use of MS Office Packages eg, Outlook, Teams, Word and Excel

What you'll be doing:

  • Managing the Visitor Experience Administrators across 3 reception areas to ensure the day-to-day reception and administrative duties are fulfilled to a high standard and that reception standards are consistently maintained across the SGIS Head Office and Saint-Gobain House
  • Team Leadership: Lead, coach, and develop a team of receptionists, providing ongoing support, feedback, and motivation to maintain high-performance levels.
  • Customer Service Excellence: Ensure that all visitors receive a warm and professional welcome and that any enquiries are handled promptly and effectively.
  • Scheduling and Coverage: Manage team schedules, ensuring adequate staffing across all reception areas during business hours. Arrange cover for absences and busy periods.
  • Compliance Training: Ensure all reception staff are fully trained and compliant with company policies and procedures, including health and safety, data protection, and customer service protocols. Create training plans and recording of all central functions staff to ensure training is up to date and we have adequate cover for first aid, fire, and ISOH safety training.
  • Reporting: Provide regular reports and updates to the Facilities Manager on reception area performance, staffing levels, and any issues or improvements needed.
  • Facilities Liaison: Act as the main point of contact between reception teams and the Facilities Manager, ensuring smooth communication and addressing any facilities-related issues in the reception areas.
  • Process Improvement: Continuously review and improve reception processes to ensure efficiency and a positive visitor experience.
  • Health and Safety: Ensure that all health and safety regulations are adhered to across all reception areas, and report any potential hazards or incidents to the Facilities Manager
