Atkins Search is currently recruiting for an Office Administrator on behalf of a multi-disciplinary Construction Consultancy based in Manchester. This consultancy is renowned for delivering prestigious projects across a national portfolio, supported by a highly experienced senior team. Due to continued growth, the business is seeking to bring in new talent to support its expanding operations.

Role

As an Office Administrator, you will play a key role in supporting the day-to-day operations of the office, ensuring smooth coordination across the team.

Responsibilities

Your responsibilities will include:

  • Assisting with the organisation of business development events
  • Coordinating with the social committee to plan inclusive and budget-conscious team events
  • Monitoring staff attendance and conducting welfare checks when necessary
  • Booking travel and accommodation for the team, ensuring cost-efficiency
  • Supporting the monthly invoicing process
  • Answering phone calls and directing them professionally to the relevant team members
  • Liaising with building management to ensure a safe and pleasant work environment
  • Addressing maintenance issues by reporting them to the Head of Office
  • Managing office supplies and placing ad-hoc orders when required
  • Ensuring required safety testing (e.g., fire extinguisher checks, PAT testing) is conducted in a timely manner
  • Formatting reports in Microsoft Excel and Word for the team
  • Typing reports from dictation and preparing minutes of meeting
  • Setting up new projects on systems such as CMAP, ESTA, and SAGE
  • Inputting data into valuation and payment certificates
  • Preparing and issuing contract documents and tenders

Person

To succeed in this role, you should possess:

  • An NVQ Level 3 in Administration (preferred but not essential)
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and calendar management systems
  • Experience in a similar administrative role
  • Strong organisational and time management skills, with the ability to prioritise and manage multiple tasks
  • A positive, professional, approachable, and dependable attitude
  • The ability to work both independently and collaboratively within a team
  • Flexibility to adapt to changing priorities while maintaining high levels of accuracy
