The company is at a significant stage of growth, and we are currently searching for a talented Executive Assistant to join their team. They offer excellent benefits, flexible working and genuine progression opportunities.

The successful candidate can work from home for one day a week on average.

Executive Assistant - Job Purpose:

  • The role of Executive Assistant delivers high quality administrative support to the companies executive team, allowing them to focus on strategic decision-making and leadership.
  • To contribute to other activities (for example, quality management, human resources support, event support), as deemed necessary to ensure that our client complies with all relevant legal and regulatory standards.

Executive Assistant - Job Responsibilities:

  • Coordinating and managing the executive team's calendars, including scheduling meetings, appointments, and travel arrangements.
  • Attend meetings, take and type up notes, distribute to participants.
  • Arrange travel and accommodation with the occasional need for travel.
  • Organize and coordinate company events, meetings, and conferences. Ensure all details are managed effectively.
  • Assist in preparing speeches, presentations, and publicity materials. Act as a mediator and representative for the executive.
  • Make appointments and liaise with the customer to ensure required facilities are made available for scheduled meetings.
  • Set up and maintain electronic filing systems.
  • Assist in the writing and production of reports, letters, presentations, and proposals.
  • Screen and handle phone calls, enquires and requests.
  • Meet and deal with visitors, including arranging refreshments, organising meetings rooms etc.
  • Complete basic background research on markets, companies, technologies and present findings in short reports.
  • Attend to basic finance tasks such as sending information to external accountants on matters including salaries, bonuses, financial transactions, and liaising with accountants and lawyers on a broad range of matters.
  • Assist with HR matters including admin and recruitment.

Executive Assistant - Skills & Experience Required:

  • Minimum of an A-level education with passing grades in relevant subject(s)
  • Proven, strong experience (5 years +) as an Executive Assistant to a senior manager or equivalent experience in the job responsibility areas noted above.
  • Proven contribution to the success of a similar Organisation whether in the high-tech sector or other.
  • Comfortable in dealing with senior personnel and involving themselves in a complex business where they can make a significant impact on performance.
  • Computer literacy is essential.
  • A self-starter committed to the company's success.
  • Ability to effectively work under tight deadlines and work independently.
  • Hands-on attitude and strong executional power.
  • Strong communication skills and appreciation of business goals and objectives
  • Strong written and verbal communication skills.
  • Strong organizational skills and keen attention to detail.
  • Enthusiastic about working in a fast-paced high-tech team.
  • Ability to function well under pressure and to handle confidential matters with discretion.
  • Willing to undertake appropriate training to progress within the role.
  • Able to travel to external venues (UK and non-UK) as and when required.
