We are seeking an Executive Assistant to deliver top-notch administrative support to our regional executive leadership team and manage office operations. This role involves assisting the International Managing Director and the EMEA Regional Managing Director. The EA will work closely with both executives and their Regional Leadership Teams to ensure seamless daily executive functions.
This dynamic role requires a highly organised, proactive, creative, and quick-thinking individual with excellent interpersonal skills and attention to detail. Building strong working relationships with each leadership team member is essential. The ideal candidate is passionate about completing tasks efficiently and to a high standard.

Responsibilities:
- Efficiently manage schedules and calendars for executive leaders in the International Gaming Leadership Team.
- Coordinate meetings across various time zones, including managing recurring meetings, schedule changes, and stakeholder responses.
- Attend meetings as needed, create and distribute notes promptly, and free executives from administrative tasks.
- Monitor, remind, and follow up on executive to-do lists, proactively addressing outstanding actions from meetings and correspondence.
- Assist with global travel planning and coordination, including creating itineraries, arranging visas, and scheduling transfers.
- Serve as a point of contact for inquiries from internal staff and external contacts, using initiative to respond or refer appropriately.
- Support the planning and coordination of events such as quarterly leadership meetings, company culture and engagement events, away days, and customer events.
- Aid in internal regional communications to ensure leaders' messages are clear, approved, and distributed timely.
- Manage expense submissions for supported executives.
- Prepare and handle confidential and high-priority communications, data reports, and files.
- Provide administrative support to the Sales Team (T&E, business cards, day-to-day admin support as needed).
- Occasionally assist with reception duties or other tasks to ensure smooth office operations.
Qualifications and Skills:
- Previous experience supporting C-suite level executives in a fast-paced environment.
- Proficient in Microsoft Office programs, especially MS Outlook and MS Teams; knowledge of SharePoint is a plus.
- Ability to manage team diaries and coordinate internal and external meetings.
- Experience prioritising workload and handling conflicting priorities, often switching tasks at short notice.
- Motivated and proactive attitude with a commitment to ongoing professional development.
- Strong verbal and written communication skills to build effective working relationships with senior leaders, the wider team, and external stakeholders.
- Strong influencing skills and confidence to seek help and support from peers when needed.
- Proficiency in any European language (Spanish, French, German) in addition to English is advantageous but not essential.
- Experience working effectively both in a team and independently, with a positive approach to change and challenges, ensuring high-quality service delivery.
