IFA Administrator (Industry Experience Essential)

Manchester City Centre

We are looking for an enthusiastic IFA Administrator to join our clients highly successful team. This vital position will support a team of Financial Advisers and Paraplanners by providing exceptional administrative services and maintaining high levels of communication, ensuring that clients receive the highest level of care and professionalism.

Duties:

  • Answer telephone inquiries professionally and redirect calls as necessary.
  • Greet and meet clients courteously, maintaining a welcoming environment.
  • Engage in strong communication practises through team meetings, face-to-face interactions, phone calls, and emails with introducers, providers, and clients.
  • Maintain the back-office system and document storage, ensuring meticulous attention to detail.
  • Respond to client emails and servicing requests, including withdrawal requests, tax information, and plan updates.
  • Assist with the Death Claim process, liaising with providers and gathering necessary paperwork.
  • Proactively coordinate workloads with advisers and track expected New Business weekly.
  • Conduct thorough checks on packs prepared for clients by Paraplanners, verifying that all applications are correct.
  • Organise documentation for new clients, updating databases and ensuring Letters of Authority are processed.
  • Demonstrate knowledge in individual financial services products.
  • Process New Business Applications, including investments, fund switches, and withdrawals, within agreed timeframes.
  • Ensure all new business applications are compliant and monitor progress, including following up on medical reports for New Business Protection applications.
  • Maintain accurate records in the New Business Register and back-office systems.
  • Verify the accuracy of policy documentation and update databases accordingly.
  • Produce valuation requests and summaries of policies for advisers as needed.
  • Ensure fees paid for new business are recorded accurately and maintain updated plan details.
  • Adhere to FCA regulations and organisation compliance procedures.
  • Stay informed about compliance matters with assistance from the Compliance Department.
  • Uphold the principle of Treating Customers Fairly (TCF).
  • Foster productive working relationships with Financial Advisers, colleagues, and management.
  • Maintain effective relationships with Professional Introducers and Providers.
