We're seeking a highly organised and proactive individual to support two directors while ensuring seamless day-to-day operation of the office.

Description

  • Manage Directors' diaries, scheduling meetings, travel and accommodation bookings
  • Prepare for meetings, take minutes, and ensure follow-ups are actioned
  • Event Management / Presentation Management
  • Oversee expenses, holiday schedules, and reminders for key tasks and follow-ups
  • Maintain and strengthen relationships with clients, stakeholders, and internal PA networks
  • Provide Directors with access to company systems and necessary support
  • Deliver professional and confidential administrative and secretarial services
  • Accurately log, distribute, and manage correspondence
  • Maintain organised confidential filing systems
  • Provide efficient and confidential typing services
  • Draft and organise promotional materials and assist with publicity as needed
  • Supervise junior staff, ensuring adequate training and support
  • Maintain records with accuracy and keep all systems up to date
  • Oversee procurement of printed stationery and office furniture
  • Monitor departmental costs and provide regular reports.
  • Liaise with IT to ensure optimal functioning of the telephone system.
  • Ensure effective mobile telephone services in coordination with Procurement
  • Manage petty cash and liaise with the Accounts office for financial matters
  • Coordinate maintenance for mechanical and electrical systems
  • Address reported defects promptly to uphold office standards
  • Monitor and enhance office health and safety processes

Profile

  • Strong organisational and planning skills.
  • Excellent written and verbal communication abilities.
  • Proficiency in MS Office and office management software.
  • Knowledge of office administrator responsibilities, systems and procedures.
  • Familiarity with email scheduling tools, like Email Scheduler and Boomerang.
