Job Overview:
The Supplier Contact Lead will work closely with the Supplier Disputes & Queries Team Leader to ensure efficient handling of supplier queries and disputes within the Payments & GFR Invoice Matching team. The role involves managing the distribution of work, ensuring adherence to Service Level Agreements (SLAs), and supporting the team in delivering accurate and timely responses. The Supplier Contact Lead will be a key referral point for escalations and will focus on maintaining and improving processes to enhance performance and service quality.

Key Responsibilities:

  • Team Management & Resource Allocation:
    Manage the team's workload and resources to ensure timely responses to supplier queries and effective day-to-day operations. Ensure work is distributed evenly, and team members adhere to documented processes.

  • Stakeholder Collaboration:
    Build strong relationships with stakeholders across the Source-to-Pay (S2P) team, Commercial teams, and beyond to ensure suppliers receive the service they are entitled to.

  • Escalation Management:
    Serve as a referral point for escalations, ensuring they are managed, documented, and resolved within the set SLAs.

  • Performance Monitoring:
    Oversee the recording and reporting of SLAs and KPIs in an accurate and timely manner. Provide feedback and insights to the Supplier Disputes & Queries Team Leader for performance reviews.

  • Process Improvement:
    Evaluate and improve existing processes to enhance controls, mitigate risks, and ensure the team follows agreed procedures. Recommend changes to improve efficiency and reporting accuracy.

  • Supplier Portal Oversight:
    Ensure the quality of responses and resolutions on the supplier portal, maintaining high standards of service and issue resolution.

  • Continuous Improvement & Innovation:
    Identify opportunities for process improvements and innovations in the way the team operates.

  • Collaboration & Knowledge Sharing:
    Foster a collaborative environment within the team, encouraging knowledge development and skill transfer.

Skills & Experience:

  • Experience with reconciliation and journal posting
  • Knowledge of SAP is highly desirable
  • Strong ability to influence and manage relationships with internal and external stakeholders
  • Expertise in implementing controls within processes to manage risks effectively
  • Proven experience in clearing outstanding balances and resolving queries with customers
  • Strong continuous improvement mindset, with the ability to drive change
  • Ability to work to deadlines and deliver results within set timeframes
  • Advanced Excel skills, including VLookups and Pivot Tables
