In this role you will work alongside the Lead Maintenance Administrator planning and managing the activities of the field service engineers to meet business and customer objectives.
Key Accountabilities
Manage orders and purchasing activities
- Acknowledgement of customer or inhouse orders
- Review engineers job sheets and organise remedial action and quotations
- Arrange purchase of spares
Site support and risk activities
- Issue method statements / risk assessments for site activity
- Updating of progress in LN as applicable
- Maintaining engineers van stock and calibration of test equipment
Organise planning/programming of field service activities including
- Arranging access and populating diaries
- Confirming access with client prior to attendance
Client support
- Issue job reports to clients
- Raise monthly claims/invoices to clients
- Processing subcontractors Job sheets and invoices
- Check costs on regular basis to monitor financial progress of job
- Provide telephone technical support to clients Field Service Engineers
What Were Looking For
To thrive in this role, you should bring:
Education:
- Bachelors degree in engineering, business administration, or a related field (optional but beneficial).
- GCSE Maths and English is essential.
Experience:
- Technical background or strong familiarity with engineering principles is preferred.
- Experience in customer service, project coordination, or service management, ideally in the engineering sector.
- Experience working with engineering or technical service teams is highly valued.
Skills:
- Proficiency in service management software (e.g., SAP, ServiceNow, or industry-specific tools).
- Good Interpersonal skills
- Computer literate including Microsoft Office
- A self-starter attitude with the ability to work independently.
- Creative problem-solving skills and the ability to manage conflicts within various organizational structures.
- The capability to simplify complex problems, conduct root cause analysis, and provide clear, well-thought-out recommendations.
- Team-oriented leadership skills with a proactive approach.
- An ability to communicate openly and authentically in all situations
Knowledge:
- Understanding of engineering principles and technical processes, particularly in the relevant industry (e.g., manufacturing, construction, mechanical services).
- Basic knowledge of heating systems
