Building Services Manager

Due to continued growth and expanding services, we are looking to recruit an experienced operational manager to manage the Building Services team at our company. The role will particularly suit someone who has a background in managing and delivering building services contracts and who has experience in managing trades such as AC technicians, Plumber and Legionella Control technicians and Domestic Gas Engineers.

The Building Services Manager reports directly to the Head of Operations and has day-to-day responsibility for all building services related operational activities; from preparing and submitting work quotations to clients, through to the planning and delivery of maintenance and repairs undertaken by the team, ensuring it is delivered on time and on budget. The role will also oversee the air-conditioning, plumbing and legionella disinfection works, working closely with the Head of Operations and the Managing Director in delivering these services in line with relevant industry regulations.

The role demands line management experience, initiative, exceptional time management skills and the ability to always meet tight deadlines. The role will be expected to liaise directly with our clients on all building services related work and will be expected to work closely with the Maintenance and Repairs Co-ordinator and the Head of Operations to ensure all contract KPIs are delivered in line with Company contractual obligations; therefore, excellent communication skills is essential for the role.

This is a new, exciting role in a growing company, and the successful candidate will have the opportunity shape the role and the future direction of the team, under the guidance of the existing management team.

Responsibilities

Report to the Head of Operations

Deputise for the Head of Operations where required

Act as the Qualifying Supervisor for the team

Manage all members of the Building Services team and any relevant sub-contractors

Monitor and maximise productivity within the team

Manage the assets assigned to the team (ie: vans, i-pads, plant & machinery)

Verify all maintenance paperwork ensuring in is legally compliant and in line with industry best practice

Identify, cost, price and secure quotes for the team, where required

Secure purchase orders for all works to be undertaken, where relevant

Ensure materials are ordered in line with job specifications, securing best prices at all times

Ensure all works undertaken is H&S compliant (in line with company, HSE and CDM guidelines) and that staff are briefed on any H&S matters, or any industry / HSE updates

Ensure jobs are planned and executed on time and within budget

Liaise with clients, keeping them up to date on job developments

Ensure any job variations are agreed in writing and are costed and managed appropriately

Sign off work for invoicing and for payment of supplier/sub-contractor invoices, ensuring accuracy at all times

Ensure all relevant certifications are provided to the client in a timely manner

Verify all maintenance paperwork is completed and is legally compliant / meets industry best practice, and provide to clients in a timely manner and in line with contractual obligations

Prepare quotations for remedial works following maintenance and all other small reactive works in a timely manner

Act as the technical advisor for relevant company contracts

Complete site surveys prior to contract/works commencement, as required

Issue and manage pre/post/job specific RAMS, working with the QHSE ensure all works undertaken is H&S compliant (in line with company, HSE and CDM guidelines) and that staff are briefed and trained on any H&S matters, or any industry / HSE updates

Work with the Repairs and Maintenance Co-ordinator to schedule work for the team on the CRM and keep the company CRM up-to-date for all assigned jobs

Set clear targets for the work to be undertaken and brief staff on the works to be done

Directly manage the building services team and sub-contractors who undertake work for the company

Ensure all job cards and project paperwork is checked and is compliant in a timely manner and in line with contract and client expectations

Check and approve job cards daily, checking and verifying any overtime with Frotcom

Ensure the accurate recording of technician’s reports/maintenance records and that they are attached to the correct jobs in a timely manner

Monitor performance and drive through improvements in productivity within the team

Ensure best value on materials purchase undertaken by the team

Produce quotes and secure orders for additional works, where relevant

Ensure all work is checked signed off prior to invoicing and ensure all relevant paperwork, reports and relevant certifications are supplied along with the invoices.

Manage all assets assigned to the team, ensuring they are kept fit for purpose and reducing unnecessary costs to the company

Deal with client technical queries in relation to the contracts being delivered and subsequent work undertaken

Manage job disputes/issues where required, representing the company positively and protecting its interests

Complete inspections of work on a regular basis and provide feedback and training to staff via toolbox talks/one-to-one to improve performance

Support the management team with the retention of existing clients and continuous growth of the business
