We are currently recruiting for a Executive Assistant / PA to join a global company who have their UK Head Office based in Milton Keynes. This a temporary role, however, could be extended or lead to permanent employment. Please note, this role is fully office based, with NO remote working.
Working Hours: 08:00am - 16:00pm, Monday to Friday, 30 minute lunch.
Contract Type: Temporary/FTC.
Location: Milton Keynes, fully office based, NO remote working.
Key Responsibilities:- Supporting various management teams, including: HR directors, team managers, and director level.
- Office Administration, including reception cover.
- Handling calendars and schedule management: Oversee and manage the calendars, scheduling meetings, appointments, and events, while resolving conflicts
- Act as the primary point of contact between the executive and internal/external stakeholders, including clients, staff, and vendors.
- Arrange travel itineraries, including: transportation, accommodations, while ensuring efficiency and cost-effectiveness.
- To organize meetings, prepare agendas, take minutes, and follow up on action items to ensure timely execution.
- Draft, proofread, and edit correspondence, reports, presentations, and other documents as required.
- Monitor and process expense reports, ensuring compliance with company policies and timely reimbursement.
- Oversee office supplies, equipment maintenance, and other administrative functions to maintain a productive work environment.
- Assist in special projects and initiatives, providing research, coordination, and administrative support as needed.
- Prior experience as an Executive Assistant/PA or in a similar administrative role supporting senior management.
- A degree in Business Administration is preferred, or extensive experience in a like for like role.
- Advanced knowledge of Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with office equipment and applications.
- Excellent verbal and written communication skills, with the ability to interact effectively with all levels of the organization.
- Strong organizational and time-management skills, with the ability to manage multiple tasks and prioritize effectively.
- Ability to handle sensitive information with discretion and maintain confidentiality.
- Strong problem-solving skills with the ability to anticipate needs and address issues pro-actively.
- Ability to work in a fast-paced environment and adapt to changing priorities and demands.
