About Us:
We are seeking a detail-oriented and proactive Executive Assistant to provide high-level support to our client’s Sales Director, who is also a board member and shareholder. This role is critical to ensuring the smooth operation of business activities and supporting the Sales Director in their strategic responsibilities.

Position Summary:
The Executive Assistant will be responsible for managing schedules, handling complex travel arrangements, creating reports, and preparing high-quality presentations. The ideal candidate will have strong organisational skills, an aptitude for quickly learning new systems, and the ability to produce polished charts, slides, and data visualisations. This is a fast-paced role requiring professionalism, discretion, and the ability to anticipate the needs of the Sales Director.

Key Responsibilities

  1. Administrative Support:
  • Manage and maintain the Sales Director’s calendar, including scheduling meetings, appointments, and travel arrangements (domestic and international).
  • Handle sensitive and confidential information with the highest level of discretion.
  • Prepare, edit, and format correspondence, presentations, and reports with a strong focus on visual impact and accuracy.
  1. Travel Coordination:
  • Plan and manage complex travel arrangements, including booking flights, accommodation, ground transportation, and creating detailed travel itineraries.
  • Coordinate changes or adjustments to travel plans promptly as required.
  • Ensure all travel aligns with the Sales Director's schedule and business priorities.
  1. Reporting and Data Management:
  • Gather, analyse, and consolidate data for reports and presentations.
  • Create professional slides, charts, and visuals to support key business meetings and decision-making.
  • Ensure data accuracy and consistency across all reporting materials.

 

  1. Communication and Coordination:
  • Act as a liaison between the Sales Director and internal/external stakeholders.
  • Screen, prioritise, and respond to emails, calls, and other communications on behalf of the Sales Director.
  • Organise and document meeting agendas, minutes, and follow-up actions.
  1. Systems and Process Management:
  • Quickly learn and utilise new tools, systems, and software to enhance efficiency.
  • Maintain databases, track project progress, and monitor deadlines to ensure timely execution.
  1. Event and Meeting Planning:
  • Coordinate logistics for meetings, conferences, and team events.
  • Arrange catering, technology setup, and prepare all required materials.
  1. General Office Support:
  • Monitor office supply levels and place orders as needed.
  • Manage expense reports, budget tracking, and reconciliation for the Sales Director.

Qualifications

  • Education: Bachelor’s degree in Business Administration, or related field preferred.
  • Experience: Minimum of 3–5 years in an Executive Assistant or similar role, ideally supporting senior leadership.
  • Skills:
    • Advanced proficiency in Microsoft Office Suite (especially PowerPoint, Excel, and Outlook).
    • Proven ability to plan and coordinate complex travel arrangements.
    • Exceptional organizational and time management skills.
    • Strong ability to create and format professional presentations, slides, charts, and reports.
    • Excellent communication skills, both written and verbal.
    • Quick to learn and adapt to new systems and tools.
    • A proactive mindset with a problem-solving approach.
