We are supporting a company based in Milton Keynes who are recruiting for a Legal PA to join them on a permanent basis. This is a full-time opportunity and will be paying a salary between 28k- 34k per annum (DOE). This role offers hybrid working so the flexibility to work from home. You will be supporting the Regional Leader and wider team with efficient administrative support.
Duties will include:
- Legal PA duties to the Regional Leader including full diary management and administration
- Answering and fielding incoming calls / switchboard duties
- Manage and process Legal Advisers expenses
- Opening and closing of files
- Assisting with preparation and issuing of client engagement letters/terms
- Creating client collaborative portals
- Managing an inbox and responding to email enquiries
- Diary management for the MK Legal Advisers
- Checking Legal Advisers inboxes/correspondence when absent and to ensure any urgent correspondence is dealt with.
- Printing, copying and collating documentation and presentations
- Assisting with invoicing, downloading time narratives, prepare simple correspondence for Legal Advisers approval and sending invoices to clients.
- Preparing and distributing client monthly billing reports, or as and when required by the Legal Advisers.
- Assist with credit control, chasing clients for payment of outstanding invoices.
- Cheque/account indents, following the accounting processes.
- Electronic bundling and liaising with Employment Tribunals and Counsel.
- Digital dictation of file notes, letters, documents etc.
- Assist in the preparation of pitch/credentials documents, liaising with Business Development to ensure best results.
- Handle telephone queries from internal staff.
- Booking flights, hotels and car hire for the teams
- Management of the sales office (ordering stationary, refreshments, meeting room management)
- Typing and preparation of post and enclosures
- Providing holiday cover when other PA's are off
Skills and experience required:
- Previous PA experience in a similar role within legal within Employment Litigation and ideally Commercial.
- Self-motivated and able to work without supervision and to a high standard
- Excellent and accurate keyboard skills required, as you will be required to obtain typing speeds to a minimum of 65 wpm.
- Strong customer service and administrative skills including extensive diary management
- Good working knowledge of digital dictation
- Flexible with the ability to adapt to change, new practices and prioritisation of competing tasks and timescales
- A methodical and organised approach with keen attention paid to every detail
- Ability to work in a busy environment and multitask
- Good use of MS Packages
