- To answer the telephone and deal with enquiries/requests as necessary.
- To ensure the processing of speeding, parking and general traffic offence notifications in accordance with authority deadlines. Advise HR and Payroll of required deductions and pass for payment as required and to assist in driver appeals as necessary.
- To process leavers with a company car in accordance with the leavers procedure and ensure they are signed off with the required deductions and HR and Payroll advised accordingly.
- To ensure all general administration including car allocation forms, additional drivers, MOT’s, RFL, Fleet checks, vehicle transfers, vehicle movements, driving licence audits, MID updates, mobile phones, vehicle valeting and insurance letters are processed in accordance with the service standards.
- To administer all insurance claim notifications and update the Insurance database. To include advising MD’s of accidents, request deductions and advising Payroll and employees as required.
- To process damage recharges and employee deductions as required.
- To ensure hire/pre-contract cars are ordered as required, ensuring they are returned promptly when finished with and the required administration is maintained including processing de-hire damage recharges.
- Ensure strong relationships are maintained with Lease companies contacts and main dealers to ensure ‘best value’ and service levels are achieved and negotiate where necessary to ensure this.
- To assist in the monthly sign off of leasing and fleet maintenance invoices as required.
- To assist the Group Fleet Manager where necessary in any required areas in the running of the company fleet.
