The role of the Purchasing & Partnerships Advisor will work within the fleet department to help order and deliver new vehicles whilst building & managing customer and supplier relationships. The role is vital in the delivery of customer excellence to the wider Volkswagen Financial Services|FLEET customer portfolio and contributing to the growth and development of the department.

Responsibilities:

  • Communication with VWFS|FLEET Customers and Vehicle Suppliers to identify vehicle requirements
  • Liaising with nominated dealers/obtaining quotations and issuing vehicle purchase orders via EbbonDacs
  • Progressing vehicle orders weekly, keeping systems and customers updated
  • Efficient handling of outbound calls, handling queries in a professional manner supporting our right first-time ethos where possible.
  • Communicating with internal and external customers through various Omni-channel including email, phone or face to face to answer customer enquiries
  • Ensuring business critical reports are carried out and kept up to date providing customers with updates surrounding in life order queries raised
  • Awareness of automotive products provided within the UK, including an understanding of Contract Hire and Salary Sacrifice is advantageous although training will be provided
  • Validating documentation - ensuring all relevant information is in place allowing the advisor to correctly place the order for the agreed and desired product for our customers
  • Carrying out relevant risk checks on new dealer suppliers - supporting the senior in the set up through BPDD process with Risk Control
  • Tracking and processing new orders - Raising new business enquiries and orders to our dealer network - ensuring they are placed with the correct site, whether this is customer nominated or through our PDN. Proactively speaking with dealer network to resolve pricing queries in a timely manner to avoid delay of orders being placed at factory
  • Performing a variety of tasks as assigned by the Senior/Team Manager such as a variety of administrative tasks - completing through the use of Salesforce and prioritising the workload to ensure tasks are completed within the agreed SLA expectation - both personal and for the team

In addition

Part of this temporary role requires additional skillset & experience gained ideally within the UK automotive and/or fleet background, and in particular including data management responsibilities such as;

  • Ability to communicate effectively via both oral & written methodology with external parties discussing customer feedback for improved service levels
  • Ability to manipulate various reams of data into dashboards & consistent report packs including summary tables and charts
  • Advanced excel skills required - covering functions such as vlookup, pivottables, conditional formatting etc as well as interactive report pack creation
  • Experienced in reviewing processes & reporting whilst proposing process enhancements for overall improvements and efficiencies
  • Own monthly business reporting from 3rd party suppliers, manipulating and onward sharing data to improve overall customer outcomes
  • Ability to learn new IT systems quickly and consistently allowing for increased output to queries
  • Ability to work on projects alone or as part of a team

About You

  • A good knowledge of VW Group Brand product and other manufacturers

  • GCSE Maths and English at level C or above

  • Ability to communicate effectively both in writing and verbally at all levels

  • Advanced excel skills

  • Attention to detail with a high degree of accuracy and ability to work under pressure

  • Knowledge and understanding of UK Fleet leasing solutions advantageous

  • A team player with the ability to work under pressure & at times alone in order to meet strict deadlines

  • Confident and customer-focused in communicating both by telephone and face to face.

  • High level of Customer service experience and ability to demonstrate use of initiative in order to aid departmental productivity.
