As a Service Coordinator, you’ll be at the heart of operations, managing the full lifecycle of service jobs from start to finish. Your ability to keep projects on track, manage job scheduling, and ensure the highest level of customer satisfaction will make you an invaluable part of our clients team. You’ll work across departments to drive efficiency and ensure every job is completed seamlessly, from initial customer contact to invoicing.

Key Responsibilities:

  • Collaborate with the Contracts Manager to deliver flawless job management for a defined customer list, ensuring excellence across all contracted and ad-hoc service jobs.
  • Utilise their cutting-edge CRM software to manage and track service jobs, ensuring nothing falls through the cracks.
  • Engage with customers, quickly understanding their service needs and responding with the urgency required.
  • Oversee job scheduling and resource allocation, ensuring timelines are met and customer expectations are exceeded.
  • Prepare and organise all job-related documentation, including risk assessments and work packs for the engineering team.
  • Coordinate the ordering of materials and services, ensuring everything is ready to go for each job.
  • Generate technical quotes and ensure accurate billing once jobs are completed.
  • Stay on top of client purchase orders and keep all job records up to date in the CRM.
  • Serve as a CRM expert, ensuring accurate reporting and KPI tracking to keep operations running smoothly.
  • Manage logistics, booking travel, accommodation, and transportation for on-site teams.
  • Provide top-quality customer service, greeting visitors, answering calls, and handling inquiries professionally.

What You Bring to the Role:

  • Proven experience in service management and administrative support within a fast-paced environment.
  • Strong organisational skills with the ability to multitask and prioritise effectively.
  • Excellent communication skills and a professional demeanor when interacting with customers and team members.
  • Advanced IT skills, with proficiency in Word, Excel, PowerPoint, and CRM systems.
