Administrator - 9am-2pm - Monday - Friday - £13ph - Barton-On-Sea - ASAP Start

Main purpose of the job:

We are currently recruiting for a motivated and efficient administrator for one of our Care Home clients based locally. The main requirement of this position is to manage the administrative procedures within the home as directed by the home manager and to provide reception cover as required.

Key duties and responsibilities:

  1. To liaise and build relationships with relatives, residents, professional service providers and other visitors.
  2. To receive all residents/visitors to the home in the absence of a receptionist.
  3. To ensure that the home's filing system is maintained accurately.
  4. To carry out administrative duties such as filing, typing, copying, binding, scanning, etc, as required by the home manager.
  5. To arrange meetings for the home manager with agendas and typing.
  6. To liaise with external parties as directed by home manager.
  7. To maintain and order office supplies.
  8. To coordinate maintenance of office equipment.
  9. To ensure every resident has all relevant paperworkbefore they are admitted to the home.

Contracts for Local Authority Residents:

  1. Liaise with the home manager and head office to ensure a signed council contract has been received.
  2. Raise top-up contracts where necessary and ensure it is signed by the agreed third party.
  3. Raise a standing order for the top-up payment in accordance with the contract.

Contract for Self-Funding Residents:

  1. Create a resident's contract and ensure it is signed.
  2. Raise a standing order for the self-funding payment in accordance with the contract.

Funded Nursing Care:

  1. Ensure a copy of the FNC referral is received from the hospital before the resident is admitted, and forwarded to head office.
  1. To ensure residents' financial/contract files are maintained.
  2. To deal and signpost any complaints received to the relevant member of staff.
  3. Inform head office of any deaths.
  4. To scan supplier invoicing and statements and send to head office for payment.
  5. To send the cheques received for payment of residents' invoices to head office.
  6. To manage petty cash and associated record.
  7. To manage payroll, including holiday/sick/maternity on a weekly basis in line with payroll schedule.
  8. To ensure that all employees' timesheets are accurate, signed off by the home manager and hours input into the payroll system on a weekly basis.
  9. To liaise with head office for any financial matters or discrepancies.
  10. To accurately record and up-date information on personnel record files.
  11. To ensure that all the relevant pre-employment checks are undertaken.
  12. To ensure all bank details and starter forms are sent to head office.
  13. To ensure that P45s or P46s are submitted to head office.
  14. To ensure that all absence records are maintained accurately.
  15. To order uniforms and badges for staff when required.
  16. To carry out any other reasonable duties as and when required by the organisation.
