PA Senior Business Support Officer support to the Director of Finance

We are looking for a full time Senior Business Support Officer to provide PA support to the Director of Finance to start as soon as possible. You should have experience of working as PA providing a high level of support to senior officers. Have excellent organisational and communications skills. The role will involve extensive use of calendars, arranging meeting with internal and external customers and email support. The role will initially be working in the office at the Civic Centre, however home working could be undertaken in due course.

  • Experience of providing personal support to Senior Managers/Directors.
  • The provision of high levels of customer service.
  • Clear knowledge and ability to demonstrate discretion and handling of highly confidential information.
  • Ability to demonstrate delegating tasks on behalf of appropriate officer.
  • Effective verbal and written communication.
  • Experience of developing and maintaining positive working relationships with customers, officers and stakeholders.
  • Excellent organisation and time management skills whilst working to challenging deadlines.
  • Working both as part of a team and independently.
  • Excellent working knowledge of Microsoft applications and council's IT systems.
  • Experience of coaching and mentoring by providing advice and guidance.
  • Understanding the need to maintain confidentiality.

The following is typical of the duties we expect you to carry out.

To take part in identifying and implementing business process improvements.

To contribute to the development, implementation, review and maintenance of business systems and processes.

To mentor, advise and give guidance to business support staff. This includes demonstrating duties and allocating and overseeing work as needed.

To deal with enquiries, including those of a complex and technical nature about the service and in line with our procedures and protocols.

To prepare documents, including correspondence, reports and management information as needed.

To work with nominated officers responsible for maintenance, repairs and security of designated buildings providing administrative support as needed.

To organise and contribute to skills transfer activities to support business continuity and to continually improve our service.

To give confidential, personal secretarial support including arranging and servicing meetings, preparing agendas and taking minutes as needed.
