BMC Recruitment Group are currently recruiting for a Personal/Executive Assistant to join our client who are an award-winning group of financial services and technology companies based in Newburn, Newcastle Upon Tyne.

Your Duties & Responsibilities include:

  1. Diary and Calendar Management
    • Schedule and manage appointments, meetings, and events for the executives
    • Coordinate travel arrangements, including flights, accommodation, and transport.
  2. Communication
    • Serve as the first point of contact, handling phone calls, emails, and correspondence.
    • Draft, edit, and proofread documents and reports on behalf of the executive.
  3. Administrative Support
    • Prepare meeting agendas, take minutes, and follow up on action items.
    • Ensure that the executive is prepared for meetings with the necessary documents and background information.
  4. Task Coordination
    • Work closely with other departments or external parties to coordinate specific projects.
  5. Confidentiality
    • Handle sensitive information with discretion and ensure that confidential documents are secured at all times.
  6. Project Management
    • Assist with specific projects, ensuring deadlines are met and deliverables are produced to a high standard.

You will need:

  1. Experience and Education
    • Minimum of three years of experience as a Personal Assistant, Executive Assistant, or in a similar administrative role.
  2. Skills and Competencies
    • Strong organisational and time management skills.
    • Excellent written and verbal communication abilities.
    • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and calendar management tools (Outlook, Google Calendar).
    • Ability to prioritise tasks and work efficiently in a fast-paced environment.
  3. Personality and Attributes
    • High level of integrity, discretion, and professionalism.
    • Strong interpersonal skills and ability to work with a variety of personalities.
    • Ability to handle stress and work under pressure.
  4. Additional Qualifications
    • Flexibility to work outside regular business hours when necessary.
    • Must be detail-oriented and have the ability to multitask effectively.
