We are seeking a part time Bookkeeper to join our team. This role involves a wide range of administrative and financial tasks, providing essential support to our Director and contributing to the efficient operation of our office. The ideal candidate will be a highly organised, detail-oriented individual who can manage multiple tasks efficiently.
Day-to-day of the role:- Secretarial Duties: Handle telephone inquiries, manage correspondence, and act as a personal assistant to the Director.
- Purchase Ledger: Manage the process of checking invoices against purchase orders, entering invoices into computerised accounts software, reconciling invoices with supplier statements, and preparing payments to suppliers.
- Sub-contractor Management: Produce payment certificates, handle payments and CIS statements, and manage payments to HMRC.
- Sales Ledger: Generate sales invoices, reconcile payments, and manage CIS statements.
- Job Costing: Utilise computerised job costing packages to produce detailed costing reports.
- VAT Management: Conduct monthly VAT reconciliations and handle VAT payments to HMRC, including compliance with Making Tax Digital and Reverse Charge VAT.
- Payroll Administration: Collate information from timesheets, input data into payroll software to generate payslips, and manage monthly PAYE and NI reconciliations and payments to HMRC. Handle all end-of-year forms and reconciliations and manage the auto-enrolment pension scheme.
- Financial Reporting: Perform bank reconciliations and prepare cash flow forecasts.
- Personnel Data Management: Maintain an accurate and up-to-date employee database.
- Compliance and Training Coordination: Process all data in accordance with GDPR requirements, coordinate training (CSCS, CPCS, NVQs), maintain training matrices, source training grants, and complete the CITB annual return.
- Documentation and Certification: Produce and collate documentation for Pre-Qualifying Questionnaires (PQQs) and Safety Scheme in Procurement (SSIP) certifications.
- Health and Safety: Maintain health and safety records.
- Executive Support: Deputise for the Managing Director during periods of absence.
- Proven experience in bookkeeping or a similar role with responsibilities in finance and management.
- Strong organisational and multitasking skills.
- Proficiency in computerised accounting and job costing software.
- Knowledge of payroll processes, VAT, and other compliance regulations.
- Excellent communication and interpersonal skills.
- Ability to handle confidential information with discretion.
- Relevant certifications in bookkeeping, accounting, or related fields are preferred.
