As Facilities Coordinator, your role will ensure the seamless operational efficiency and safety of our client’s office hub, driving the implementation of Operations strategy with a focus on health, safety, and compliance. You will play a key role in maintaining a well-organized, safe, and compliant work environment, optimizing day-to-day functions. Your proactive approach and attention to detail will support the company’s commitment to operational excellence and regulatory compliance.

Key Responsibilities:

  • Coordinate day-to-day operations of the head office hub, providing on-site support during open hours, including evenings and weekends by prior arrangement.
  • Manage reception duties for pre-arranged visitors, ensuring a warm welcome and organizing refreshments or lunch if requested.
  • Oversee office supplies and stationary orders, handle incoming/outgoing mail, and ensure the hub is clean and organized.
  • Manage key holders and ensure timely opening and closing of the hub.
  • Communicate with external companies to ensure facilities maintenance is completed and address any issues.
  • Support Health & Safety processes, coordinate fire safety measures, and manage small projects related to facilities and property.

Key Skills and Experience:

  • Highly organized with strong multitasking abilities.
  • Proactive and accountable, taking full ownership of tasks.
  • Excellent communication skills, adept at managing expectations across all levels.
  • Confident and professional in diverse situations.
  • Able to work independently or collaboratively, always willing to assist others.
  • Willing to undertake Fire Safety and First Aid training or certifications.
