Contract Details: Permanent, Full Time office based - 40 hours per week

A leading organisation in the transport industry, is seeking a highly organised and detail-oriented Fleet Administrator to join their team. As a member of the fleet, compliance, and training team, you will play a crucial role in ensuring that the organisation's fleet and workshop equipment remain compliant with regulations and industry standards.

Responsibilities:

- Business Compliance Administration:

  • Manage the asset register on the business fleet management system, ensuring all necessary statutory inspections are completed and any failed inspections are followed up on to ensure compliant equipment.
  • Collate environmental data for all depots, providing reports on energy usage, CO2 emissions, waste transfer notes, and duty of care.
  • Record, compile, and chase weekly audits, escalating any issues to the Health & Safety Manager and assisting in arranging follow-up actions.

- Fleet Compliance Administration:

  • Input and validate new vehicles on the fleet management system, ensuring all compliance certificates and documentation are up to date and filed appropriately.
  • Monitor fleet system KPIs daily to ensure full vehicle compliance.
  • Compile monthly vehicle taxation reports and provide internal distribution of vehicle off-road reporting.
  • Administer traffic violations, manage company vehicle insurance claims, and handle company vehicle maintenance.

- Customer Compliance Administration:

  • Produce recharges and management information supporting customer invoices.
  • Generate monthly customer KPI reporting aligned with contractual requirements.
  • Act as a liaison for long-term contract hire customers, facilitating their requests for additional vehicles.

- Supplier Compliance Administration:

  • Update contractual fixed costs for vehicles and issue fixed orders to suppliers.
  • Provide monthly reports on fixed orders to directors.
  • Support Supplier Relationship Managers with maintaining compliance information in the management system.

- Ross Road / Workshop Facilities Administration:

  • Conduct H&S inductions for new starters.
  • Monitor office areas to ensure tidiness.
  • Manage confidential waste collections.
  • Coordinate facilities management with contractors and sub-contractors.
  • Manage office supplies and Company Pool Cars.

- Technical Training Administration:

  • Collaborate with managers to identify training requirements.
  • Arrange and update training records for employees.
  • Manage records for completed briefings and chase any overdue training.

To be successful in this role, you should have excellent organisational skills and a keen eye for detail. Previous experience in fleet administration or a similar role within the transport industry would be advantageous. Strong communication skills and the ability to work effectively within a team are also essential.
