Our client is looking for a Samples Co-ordinator & Caretaker

Main Purpose:

To prepare and arrange the despatch of frozen food samples to prospective clients working alongside the Technical Assistant (Complaints). To maintain freezers, stock and all other equipment associated with the preparation and workings of the position.

Principle accountabilities:

Samples Co-Ordinator -

  • Re-packaging of frozen food samples to be carried out by pre-packing into manageable quantities for storage in product freezers within the "Cold Store" area. The samples are to be sealed within polythene bags with the use of a bag sealer provided and clearly labelled detailing product and weight before being transferred into the "Cold Store" area.
  • The collating of sample request orders on the Intranet software system as required by Sales Team members. This entails the picking of sample orders from within the "Cold Store" area, packing firstly into a cardboard box, labelling the box to identify customer, products, Account Manager and sample request Identifying number, as stated on the "Samples Request" form. These boxes are then kept within the freezers until the dry ice, which is used for delivery, arrives. The cardboard boxes will then be packed into poly-boxes along with the dry ice to maintain a frozen state during despatch to the customer. The handling of dry ice must always be treated with utmost care and the protective clothing provided must always be used. Product specification sheets must be included with the product. The poly-box is sealed and labelled with "Dry-Ice handle with Care" together with the relevant despatch information on the poly-box for courier collection.
  • Update the Intranet software system, recording delivery information and updating whilst the Technical Assistant (Complaints) is on leave.
  • To assist with the maintenance of freezer stock levels by regular stock checks, reporting shortages, ordering of products, checks on "best before" dates displayed on products, flagging up any problems.
  • To ensure that all equipment is maintained to a good standard, i.e. that all freezers are operating to temperature (using built-in software) and to maintain a good stock level of equipment required for the purpose of the job i.e. poly-boxes, cardboard boxes, polythene rolls, cellotape.
  • That the "Cold Store" and packing areas are kept clean and tidy at all times and all packaging materials are stored safely. Checking PPE equipment used for the freezers and reporting when cleaning required or replacements needed.

Caretaker -

  • To ensure the correct bins are in the unloading location on collection days and returned to their usual storage site
  • Ordering heating oil and attending the fuelling up of the onsite storage tank
  • To repair and maintain the office interior and exterior offices, where reasonably practical
  • Help out generally, throughout the offices, when required ie changing light bulbs.

Must be able to drive due to rural location

20 to 25 hours preferably Monday - Friday
