JOB TITLE: Trainee Property Manager

REPORTING TO: Head of Property Management

An exciting opportunity for a business focused graduate looking for a varied and challenging career working for the leading Property Management firm in the area.

This role offers support to study professional industry led qualifications and progression into senior management.

This Job Description sets out the duties of the post at the time it was drawn up. Such duties may vary from time to time without changing the general character of the duties or the level of responsibility entailed. Such variations are a common occurrence and cannot themselves justify a reconsideration of the grading of the post.

Specific Tasks

  • Manage portfolio of properties.
  • Preparation of new inventories using Inventory base and associated paperwork.
  • Update of inventories using Inventory base and associated paperwork.
  • Carry out final inspections using Inventory base and associated paperwork. Negotiate dilapidations between Landlord and Tenant to include deposit refunds.
  • Preparing evidence for any TDS or DPS disputes.
  • Dealing with general maintenance queries
  • Preparation of the properties ready for occupation.
  • Actioning repairs via Fixflo. All new issues and issues requiring attention need to be dealt with daily. Ensure funds are taken up front and retentions used for works instructing.
  • Invoices to be processed within 48 hours of receipt.
  • Utility management.
  • Carry out move in’s
  • First property inspection one month after new tenants move in.
  • Working with Inspections Clerk to ensure all repairs/issues noted following the visits are dealt with via Fixflo.
  • Ensure that all properties are compliant eg safety certificates, EPCs, EICR’s, Smoke alarms, Carbon Monoxide detectors are in place. All certificates need to be booked 6 weeks in advance at all times. There should be 0 expired certificates without a valid reason.
  • Action the weekly report you are provided to ensure outstanding Certificates & Fixflo repairs are followed up and dealt with accordingly. Keys which you have been booked out by you or for your jobs must be chased weekly.

PERSON SPECIFICATION:

  • Degree educated
  • Excellent communication skills both written and verbal.
  • Customer service experience.
  • Good knowledge of the full range of Microsoft office packages.
  • Be confident and able to handle conflict (when dealing with deposit refunds)
  • Hold a full driving license - Use of the company pool car for property visits etc.

HOURS OF WORK: 8:30-5:30 Monday to Friday with 1 hour lunch plus 1 Saturday in 4 - which do not fall over a bank holiday as we close for the whole weekend

SALARY: The salary would start at £24,000 reviewed annually on 1st April and at the point of completing industry qualifications.

HOLIDAY: 28 days including bank holidays
