Pre-Construction Administrator

A leading Building Services Contractor is currently seeking a highly organised and proactive Pre-Construction Administrator to join their team. This role will provide essential support to the Pre-Construction function of the business, including work-winning, estimating, and design activities. The ideal candidate will be detail-oriented, capable of managing a varied workload, and able to meet deadlines effectively. Strong communication skills, a team-oriented mindset, and a proactive approach are key to succeeding in this position.

Key Responsibilities:

  • Provide comprehensive administrative support to the Pre-Construction team.
  • Prepare and issue tender letters, compile and send packages to the supply chain for costing, and take meeting minutes.
  • Annotate design documents, assist with report writing, and maintain accurate records of information exchanged.
  • Compile information and assist with Pre-Qualification Questionnaires.
  • Create and modify bid presentations, and update project case studies.
  • Help organise corporate and team events.
  • Manage and update the project database (KMS), generating reports as needed.
  • Assist the department head with scheduling meetings with clients and internal teams.
  • Track sickness and holiday reports for the department.

Key Skills & Experience:

  • Ability to plan, coordinate, and prioritise workloads effectively.
  • Strong organisational and communication skills with a proactive attitude.
  • Ability to work efficiently in a fast-paced environment and meet deadlines.
  • Excellent attention to detail.
  • Ability to work independently and collaboratively within a team.
  • Proactive problem-solving abilities.
  • Familiarity with office health and safety procedures.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
  • Experience with or knowledge of project management databases such as KMS.

Additional Information:

  • This is a full-time office-based role, Monday to Friday, from 09:30 to 17:00.
