Reed Norwich Accountancy are seeking a dedicated Charity Accounts Assistant to join our clients Finance team on a temporary basis. This role is crucial for providing financial support and managing the administrative operations of our charity functions. The successful candidate will work closely with the Head of Charity and Head of Financial Governance and Compliance, ensuring efficient handling of charitable funds and supporting various financial processes within the Trust.

Day-to-day of the role:
  • Process charitable funds requests daily, including raising order requests and obtaining necessary approvals in line with Charity Governance.
  • Liaise with suppliers to obtain quotes and place orders.
  • Manage the Charitable Funds email inbox, ensuring timely and professional responses.
  • Provide administrative support across the charity team.
  • Maintain accurate accounting records, systems, and files, ensuring compliance with VAT, tax, and NI implications for charities.
  • Handle invoice records, authorisations, payments, and resolve related issues.
  • Provide financial information to Fund Managers and senior managers, assisting with queries and ad hoc requests.
  • Perform month-end journals and reconciliations of the Charity’s finance ledger.
  • Complete bank reconciliations for each charity bank account monthly.
  • Issue fund statements to Fund Managers monthly.
  • Maintain accurate records of Charity Fund Managers and reconcile financial positions between the Trust and the Charity.
  • Assist in invoicing for income for Charitable Funds and manage donation receipts and allocations.
  • Maintain Gift Aid records and prepare claims for submission.
  • Propose and implement procedural improvements for Charitable Funds duties.
  • Assist with annual accounts and year-end processes for Charitable Funds.
  • Support internal and external audits by providing necessary information and resolving queries.
Required Skills & Qualifications:
  • Proven experience in financial or accounts assistant roles, preferably within a charity or non-profit sector.
  • Familiarity with charity accounting and financial regulations.
  • Strong organisational and administrative skills.
  • Excellent communication and interpersonal skills.
  • Proficiency in financial software and MS Office, particularly Excel.
  • Ability to work independently and manage multiple priorities under tight deadlines.
  • Membership of an appropriate accounting body (AAT or CCAB) is desirable.
