Estates and Facilities Administrator

We are seeking a dedicated Estates and Facilities Administrator to contribute to the high standards of buildings, environment, and facilities. This role is ideal for someone with a keen eye for detail and a commitment to sustainability and presentation. The successful candidate will provide essential administrative support to the Estates and Facilities Team, ensuring the smooth operation of our service desk systems and maintenance works.

Day-to-Day Responsibilities:
  • Provide general administrative support to the Estates and Facilities Team.
  • Handle requests made to the Top Desk work order help desk, allocate tasks to appropriate teams, and update task progress and completion.
  • Assist with the coordination of planned maintenance works, including contacting contractors, scheduling visits, and collecting service reports and certifications.
  • Manage the Control of Contractors and Approval System, ensuring compliance with policies and processing due diligence and DBS information.
  • Oversee the contractor signing-in register, issue contractor ID cards, and liaise with college teams regarding access and restrictions.
  • Support the team with financial activities, such as raising Purchase Orders and GRNs.
  • Assist with document control, facilities management processes, and procedures, including permit to work and key control.
  • Place orders on the system and manage maintenance issues, such as leaks, by coordinating with internal maintenance or external contractors.
  • Order spares and liaise with caretakers employed by the college, using mobile radio for communication regarding jobs or emergencies.
Required Skills & Qualifications:
  • Proven administrative experience, preferably within an estates or facilities management context.
  • Familiarity with service desk systems, ideally Top Desk.
  • Competence in financial administrative tasks, including raising Purchase Orders.
  • Strong organisational skills and the ability to manage multiple tasks efficiently.
  • Excellent communication skills for liaising with various teams and contractors.
  • Ability to use systems for monitoring maintenance requests and placing orders.
  • A proactive approach to problem-solving and following up on outstanding issues.
