AJ Chambers are proud to be partnered with a Top 100 UK firm as they look to expand their Commercial Real Estate division by hiring a Legal Secretary into their support function.
Responsibilites:
- Provide the team with typing, secretarial, and administrative support.
- Responsibly support the needs of fee earners and prioritize delivering a quality service.
- Assist with digital dictation and administrative tasks in line with the Company’s workflow ethic.
- Transcribe and prepare correspondence and documents using audiotyping and word processing, utilizing Company precedents when appropriate.
- Operate the case management system, including electronically storing and organizing documents.
- Be familiar with relevant computer packages such as PDF Docs, document conversion, and tracked changes.
- Handle administrative routines like scanning, faxing, printing, and photocopying.
- Efficiently manage client/matter files, including general filing, file opening, preparation of client care letters and terms and conditions, file closure, and archiving.
- Understand how to use the strong room for searching, retrieving, and sending original documents.
- Meet clients' needs and keep them informed as necessary.
- Manage incoming and outgoing mail via post, DX, emails, and fax transmissions.
- Schedule appointments, arrange meetings, and maintain manager/fee earners' diaries, including providing refreshments if needed.
- Monitor compliance and Lexcel requirements.
- Attend to clients in person and on the phone, providing support in a professional and friendly manner consistent with the Company’s client care standards.
- Be flexible within the wider support team and assist as needed, ensuring a cooperative team environment.
- Work within relevant administrative systems and procedures, especially in financial management, recording time, and preparing bills and correspondence.
- Ensure the confidentiality of all Company and client information.
- Have an appreciation of legal procedures and Company protocols.
- Fulfill any other reasonable requests from fee earners and/or the manager.
Skills & Experience needed:
- Experience as a legal secretary/secretary, including proficiency with digital dictation tools.
- Strong computer literacy with extensive knowledge of Microsoft Office.
- A typing speed of at least 65 words per minute with 90% accuracy.
- Excellent attention to detail, especially in spelling and punctuation.
- Effective communication skills at all levels, with the ability to remain calm and respond well under pressure.
- Ability to organize work efficiently and plan to meet deadlines.
- Demonstrated problem-solving "can-do" attitude and effective teamwork skills.
- Experience working in a professional organization with a basic understanding of fee earners' work.
