Job Title: Accounts Assistant

Hourly Pay Rate: 12.31 to 13.13 dependent on experience
Hours: 37.5 per week (Monday to Friday, 09:00 to 17:00)
Length of the contract: 12 Weeks
Gi Group are now seeking to appoint an experienced Accounts Assistant to our Public Sector client based in Norwich. The Accounts Assistant will be responsible for providing financial support to the Charities Team, supporting the Head of Charity and Head of Financial Governance and Compliance, in respect of administration and operation of the charity function. The postholder will also be expected to provide support to the Accounts Receivable and Accounts Payable for the organisation.
Duties of the Accounts Assistant
- Process charitable funds requests on a daily basis, raising order requests and obtaining the necessary approval in line with charity governance, and liaising with suppliers to obtain quotes and place orders.
- Supporting in the management of the charitable funds email inbox, ensuring timely and professional responses.
- Responsible for ensuring all accounting records, systems, and files are promptly and accurately maintained, including appropriate treatment of VAT, tax, and NI implications according to current guidance for charities.
- Create, complete, and maintain invoice records, obtain appropriate authorisation for timely payments, and resolve issues and queries. Liaise with suppliers, other finance teams, budget holders, and the Procurement Team and refer to the finance ledgers to investigate discrepancies and resolve in a timely manner.
- Input month end journals and reconciliations of the charity's finance ledger and work within the month end timetable to ensure that accurate and timely financial information is available to Fund Managers and senior management.
- Reconcile the financial position between the organisation and the charity monthly, whilst ensuring that the balance is cleared promptly. Work with other finance teams to investigate any discrepancies and resolve in accordance with month end timetable.
- Arrange invoicing for income for charitable funds, assist with queries referring to ledgers, and liaise with the Accounts Receivable Team. Advise Fund Managers of polices and rules and liaise with Solicitors to ensure that income from legacies are promptly and accurately received and recorded.
Role Criteria
- Minimum of 5 GCSEs Grade C or above (including Maths and English) or equivalent.
- Studying to AAT Intermediate (or equivalent NVQ Level 3).
- AAT Intermediate Qualified or an A-Level in Accounting.
- Finance department work experience.
- Relevant experience of working with finance computer systems.
- Experience of working in an accounts payable or accounts receivable setting.
- Experience of working within a busy finance function.
- Public Sector or Charity Sector finance experience.
