Team Administrator / PA

Nottingham - hybrid 2/3 days per week in office£35,000 + extensive benefits

Prescient Group is partnered with a well-established and highly respected construction multidisciplinary consultancy, with offices throughout the UK. We are recruiting an experienced Team Administrator to join the highly professional and welcoming team.

We are recruiting for an experienced Team Administrator to join a leading practice in on a hybrid basis (2-3 days in the office, some flexibility to working hours).

You will be working in a consultancy company that is driven by quality of service and high standards for details. From day one, you will receive full support, training, and coaching from an existing supportive team.

You will be working within a design led environment working with designers, engineers and architects. You will be working with highly sensitive data and information - working in a similar role will be advantageous. Working to deadlines as part of a team is integral.

Main Duties

  • To support the process-driven design process from an administrative perspective, helping to move projects through their process
  • Prepare a variety of documents utilising a range of design-focused, CRM and MS Office package to a advance degree. This will include the creation/maintenance of Excel documents such as workload trackers, with the potential to add value and utilise a multitude of Microsoft Applications appropriate to the output required for the team.
  • Support the team with documentation control using associated workflow systems
  • Maintain, update, and use practice document templates
  • Support and attend weekly minutes, contributing from an admin/doc perspective
  • Assistance and support in the background checks and vetting of contractors
  • Manage and produce quotations from our supply chain/clients
  • Support the design teams/engineering with document control including uploading to file-sharing platforms
  • Support the Q&A by making sure projects and administrative-related matters are signed off within set SLAs
  • Ensure purchase orders/ invoices are received and processed
  • Enter data into the MIS, including the creation of new jobs and generally ensuring that the system remains updated.
  • Manage and maintain the outlook diary system for the planning of meetings for the team
  • Minute meetings and managing expectations / the team is fully aware of any their actions

This role will be subject to Disclosure and Barring Service, Baseline Personnel Security Standard, Counter Terrorist Check and Security Check, or Developed Vetting clearance.

Due to the nature of the business, the successful candidate will be to need to undertake full Safeguarding vetting and an enhanced DBS check.
